Ortho Treatment Coordinator /Traveling TC

Division/Department: Orthodontics

Salary Range: $45,760 - $50,000

Purpose of position: The role is to provide training and support to all orthodontic treatment coordinators of CDP Smiles practices. Create and deliver training materials to TCs via online and with-in person training which will require traveling to different locations as needed. Create processes, checklists and protocols for De Novos, acquisitions and expansions and implement in new practices. Provide follow up and continuous training for new and existing TCs. Evaluate and manage all TCs metrics and adjust protocols or processes as needed with support and the direction of the OTD. Develop training materials for continuing education and training to be used within Ortho University and as part of the Traveling Training Team. Develop and deliver presentations pertaining to treatment coordinating/ortho manager and the NP exam whenever and wherever necessary.

Responsibilities and Duties:

  • Travel to different locations to train new and existing TCs
  • Support TC with learning materials
  • Set up training seminars or CE for TCs
  • Audit all TCs weekly/monthly
  • Provide TCs with all the tools they may need to achieve their goals
  • Track all TCs CE credits and support them in participating in CE credit events/teachings
  • Teach excellent customer service, communication skills, personal/patient awareness and sales tactics
  • Evaluate and manage all TCs metrics
  • Make recommendations to OTD for changes in protocols or procedures that will improve the TC position and/or the New Patient process within CDP practices
  • Develop materials and teach ortho teams (PM to assistant level) about the New Patient process and phone call
  • Coordinate with and support other managers in the Traveling Training Team and the M.A.D. Team
  • Implement protocols and procedures pertaining to treatment coordinating and NP exams
  • Schedule, develop, and deliver materials and presentation for quarterly TC meetings
  • Evaluate, develop, train and implement the New Patient process within all CDP Smiles practices
  • Create new training materials for Ortho University in various formats pertaining to treatment coordinating and the NP process/exam/phone call
  • Present in person or via webinars presentations pertaining to treatment coordinating and the NP exam and process


  • Ensure the TCM/Director’s requests and expectations are met
  • Work with managers and team members to identify areas that need improvement
  • Advise and help resolve issues brought to management pertaining to treatment coordinating and/or the New Patient process
  • Ensure clear communication, compliance and understanding of projects and protocols
  • Develop, train, elevate and support every TC and CDP Smiles practices
  • Travel to all locations as needed for training and support
    • 2-3 days per follow up to MAD training (at least a month from MAD training)
    • 1-2 days per existing TC training for improvement as needed
    • 1 day/quarter for TC meetings
    • 1 day per location to train teams on the NP process and/or phone call for existing and new practices of CDP Smiles and the PCC
  • Contribute to Meetings for TCs to introduce new trainings and materials, discuss concerns/issues and team building

Minimum Requirements:

  • Previous experience in Ortho office
  • RDA
  • HS Diploma or GED
  • 3+ year in Ortho Office

• Treatment Coordinator Experience (min 2yrs preferred)

Schedule & Location:
Primarily Central Texas, able to WFH/commute as needed

Shift: M-F, with the occasional Saturday.
Full time, Monday to Friday, and with the ability to travel
(sometimes the job will require you to travel during the weekends and stay in other cities as needed for training or assisting purposes).
Ability to work remotely.
